We are a passionate and growing team looking for a highly organized and proactive Senior Executive Assistant to support our Directors in their mission to drive the organization forward.
 

Job Summary:

We are seeking a seasoned and highly capable Senior Executive Assistant to provide comprehensive support to the Directors of Satat Sampada. The ideal candidate will be a master of organization, a fluent English communicator, and a proactive problem-solver who can anticipate the needs of our leadership team. This role is crucial in ensuring the smooth and efficient functioning of the Directors' office, enabling them to focus on strategic initiatives.

You will be responsible for a wide range of administrative and executive support tasks, including managing complex schedules, coordinating meetings and travel, and facilitating seamless communication with internal and external stakeholders.

Key Responsibilities:
 

Calendar and Communication Management:

  • Proactively manage and maintain the Directors' calendars, scheduling appointments, and prioritizing conflicting demands with diplomacy and efficiency.

  • Ensure the Directors are well-prepared for all engagements by providing them with necessary information and reminders.

  • Serve as a primary point of contact for the Directors, professionally screening and directing correspondence and inquiries.

  • Liaise with external partners, clients, and other stakeholders to schedule appointments and follow up on behalf of the Directors.

  • Draft, proofread, and edit professional emails and letters with impeccable attention to detail and a high standard of English.

Meeting and Conference Coordination:

  • Flawlessly organize and coordinate online and in-person meetings, conferences, and webinars from inception to conclusion.

  • Diligently capture, transcribe, and distribute accurate and concise meeting minutes, and track action items to ensure their completion.

Database Management:

  • Develop and maintain a systematic and accessible database of key stakeholders, including clients, government officials, partners, vendors, and media contacts.

  • Ensure the accuracy, integrity, and confidentiality of all data, regularly updating contact information and interaction notes.

Travel and Logistics Management:

  • Arrange and manage all aspects of domestic and international travel, including flight and accommodation bookings, ground transportation, and itinerary planning.

  • Handle the entire visa application process, ensuring all documentation is accurate and submitted on time.

  • Demonstrate the ability to travel locally within the Noida/Delhi-NCR region and occasionally outside the region to manage logistical arrangements for meetings and events.

Task and Expense Management:

  • Diligently follow up on pending tasks and priorities, ensuring deadlines are met and the Directors' commitments are fulfilled.

  • Manage and reconcile the Directors' expenses, preparing and submitting accurate and timely expense reports.

  • Undertake any other related tasks as required to support the Directors and the smooth operation of the organization.

Qualifications and Skills:

  • A Bachelor's degree in Business Administration, Communications, or a related field is preferred. A specialized diploma, degree, or certification in Office Administration, Secretarial Practice, or Executive Support is highly desirable and will be given strong consideration.

  • A minimum of 3 to 5 years of proven experience as an Executive Assistant, Personal Assistant, or in a similar role, supporting senior managers or directors.

  • Excellent proficiency in written and spoken English is a mandatory requirement.

  • Demonstrated ability to handle confidential information with the utmost discretion and professionalism.

  • Exceptional organizational and time-management skills, with the ability to multitask and prioritize effectively in a fast-paced environment.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Workspace, and other common office productivity tools.

  • Experience in organizing Zoom/Google Meet online calls and a strong understanding of these platforms to maximize their functionality.

  • A proactive and resourceful approach to problem-solving with a strong sense of initiative.

  • Strong interpersonal skills with the ability to build and maintain positive relationships with internal and external stakeholders.

  • The ability and willingness to travel locally for logistical and coordination purposes.​​
